Regulations for Exhibitors
Rules, duties, deadlines and conditions for participation as an exhibitor or merchant.
The website www.fava.pt is dedicated to the FAVA event - Algarve Environment and Vegan Fair, a fair promoting a well-being, free, conscious, creative, environmentally responsible, and animal exploitation-free society. FAVA is organized by the non-profit association BENFAZER, with the support of Loulé Municipal Council.
Applying as an Exhibitor at FAVA requires, beforehand, reading and accepting the Terms of Use, Privacy and Cookies of this website.
In case of impossibility to hold FAVA on the scheduled date, for any reason, BENFAZER may present solutions for a new date or alternatives in other association events, but is not obliged to do so, nor is it liable for any refunds or compensation payments.

3. Commitment
1. The Exhibitor commits to conveying a vegan lifestyle during their presence at the event, adopting sustainable practices in their operations, and complying with all the provisions in this regulation.
2. The Exhibitor cannot transfer their assigned space without the express authorization of the Organization.
3. The Exhibitor commits to being open to the public during the event\'s operating hours, strictly complying with the opening and closing times.
4. The Exhibitor must provide the equipment and materials necessary for the correct operation of the assigned space, as well as purchase personal hygiene products and cleaning products for their space.
5. The Exhibitor commits to presenting only safe products suitable for the event\'s purposes. The Organization may request the removal of products if the opposite is verified.
6. The Exhibitor is solely responsible for any damage or loss, of any nature, caused to people or exhibited products before, during, or after the event.
7. The Exhibitor is free to set the prices of their products and services in current currency, social currency, cryptocurrency, or other means of exchange.
8. The Exhibitor guarantees that they will not serve drinks in glass cups or bottles for consumption at the fair.
9. So that the Organization can calculate the carbon and environmental footprint of the event, the food area Exhibitor commits to informing the number of meals served during the fair.
10. The Exhibitor is not authorized to use animals as part of their activity or to promote adoptions.
11. It is the Exhibitor\'s responsibility to have all legally required documentation and licenses and to operate in compliance.
12. The Exhibitor commits to not using fossil fuel generators.
4. Zero Plastic
1. The Exhibitor must replace single-use plastic materials such as cups, containers, bags, bottles, plates, cutlery, etc., with reusable alternatives or compostable materials. The Exhibitor must possess proof that the materials used comply with this requirement.
2. The Organization encourages visitors to bring their own cups, bags, and containers to take purchases home. In this regard, the Exhibitor commits to rewarding clients who do so, for example with a small discount or gift.
5. Assembly and Unloading
1. Assemblies and dismantling deemed necessary by the Exhibitor must be carried out up to thirty minutes before the event start and only after the scheduled end of the event.
2. Except for vehicles authorized by the Organization for display, no other vehicle may circulate or be parked inside the event area.
3. When heavy loading/unloading is required, vehicles must be removed one hour before the event starts and may only re-enter after the fair closes.
6. Credits (Benfazer App) - Former FAVA Cheques
1. To stimulate the fair\'s internal economy, the Organization provides credits (replacing the old FAVA Cheques) - a virtual currency managed in the Benfazer App. These credits are distributed to work teams, partners, volunteers, artists, speakers, and raffle winners.
2. All those who earn credits and wish to exchange them for money must download and use the Benfazer App. Credits can be used in any Benfazer event.
3. All Exhibitors are required to accept these credits as a payment method and can also use them among themselves.
4. Transferring credits from one user to another is done by entering a code or reading a QR Code within the application.
5. After the event, converting credits to bank funds is dependent on issuing an invoice/receipt corresponding to the accumulated credits. After receiving the invoice, BENFAZER will make the bank transfer.
7. Structures and Payments
1. Once the application is Approved, final confirmation of participation is dependent on the payment of a participation fee to BENFAZER.
2. The participation fee for all 3 days is shown in the table below. VAT is added to the values shown.

(*) The shape and aesthetic presentation of the structures shown in photos may be altered by the Organization, but functional characteristics will always be maintained.
8. Furniture and Additional Services
1. In addition to the spaces and structures, the Exhibitor can request the furniture shown in the table below.
2. The furniture provided will be the responsibility of the Exhibitor during the fair and must be returned in perfect condition.
3. If the Exhibitor does not indicate furniture needs in the application, the Organization does not guarantee availability.
4. VAT is added to the values shown below.

9. Applications
1. Exhibitor applications are submitted through the site at this link and are reviewed based on the following criteria:
- Exhibitor commitment to the event purpose throughout the year;
- Lower power grid demands are prioritized, especially for Catering;
- Relevance and creativity of the product / service / brand;
- Participation history in BENFAZER and similar events;
- Order of application arrival;
- Score in the previous Exhibitor of the Year evaluation.
2. Once Approved, payment details for the Participation Fee will be sent by email.
3. The Exhibitor has three days to confirm their participation by sending proof of bank transfer to email@fava.pt.
4. Failure to respond within the deadline gives the Organization the right to assign the vacancy to another application.
5. If the application status changes to Not Accepted due to lack of transfer, a new application can be submitted (subject to approval), and the Participation Fee rises by 20%.
10. Promotion
1. Exhibitor participation is promoted through our communication channels such as social networks and website.
2. Each Exhibitor has a dedicated page on our website that visitors can access at https://fava.pt/expositores and use as a contact method.
3. The Organization provides a support and communication kit for Exhibitors, as well as initiatives like Happy Hours and Exhibitor of the Year, which the Exhibitor can explore to stand out.
11. Exhibitor of the Year
The Exhibitor who contributed the most to FAVA\'s success is awarded public recognition according to the criteria defined in our Terms for the Exhibitor of the Year Distinction.
12. Security
1. The FAVA venue will have private security day and night.
2. Despite security efforts, the Organization declines all liability for thefts, losses, damages, or force majeure events affecting people or assets.
13. Liability
1. BENFAZER is not liable for thefts, breakdowns, or damages in equipment or products resulting from unfavorable weather conditions or water/power supply failures.
2. Although committed to promoting the fair, BENFAZER does not promise specific results in terms of impact or return for exhibitors.
14. Cancellations and Refunds
1. In case of cancellation, the Exhibitor must inform the Organization in advance to minimize impact and be eligible for next year\'s event.
2. Regardless of the reason, the Exhibitor accepts the following refund conditions:
- Cancellation reported 60 or more days before the fair: 80% refund.
- Cancellation reported between 30 and 59 days before the fair: 20% refund.
- Cancellation reported less than 30 days before the fair: no refund.
15. Non-compliances
Failure to comply with any rule in this regulation gives the Organization the right to:
- Stop Exhibitor participation immediately without refund;
- Exclude their application from future BENFAZER events;
- Apply a penalty to the credit exchange amount.
